Privacy Policy
BizJetDocs and RotorDocs (rotordocs.com, our helicopter line) are brands of one company, Hardison Investments LLC. This page applies to both.
Effective date: October 31, 2026. Last updated: October 31, 2026.
This policy is issued by Hardison Investments LLC, a Florida limited liability company doing business as BizJetDocs ("we", "us" or "our"). It explains what personal information we collect through bizjetdocs.com, our phone line and text messages, and our document services, how we use and share it, and the choices you have. We do not sell personal information.
Information we collect
- Contact and account details: your name, company, email, phone number, a password hash if you set a password, two-factor settings, and the account identifier and email that Google or Microsoft shares with us if you choose to sign in with them.
- Order and intake information: your answers to our questions and the records you upload or send us. Depending on the document, this can include aircraft registration, serial numbers, ownership, lease and operator details, airworthiness, maintenance and equipment records, and information about crew members and other people named in those records, such as names, certificate numbers and ratings, training and qualification records, and signatures.
- Public records: information about your aircraft and its registered owner, and about crew certificates, from public FAA registries, used to check and complete your documents.
- Payment information: the amount, method, status and date of each payment, and the last four digits of the card or account. Card and bank details are entered on our payment processor's secure form and never reach or are stored by us.
- Signatures: when you sign through our signing pages, the signature, signer name and email, date and time, and the IP address and browser used, kept as an audit trail.
- Calls: when you call us, our automated phone assistant may answer. Your voice is processed as the call happens so the assistant can understand and answer you. We do not record calls. We log the number you called from and the date, time, duration and outcome of the call; our records do not keep what was said on the call.
- Messages: emails, support requests and text messages you send us, and our replies.
- Device and usage information: IP address, browser type, pages requested, dates and times, and security events such as sign-ins, collected in our server logs; and, only if you accept analytics cookies, the information described under Cookies and analytics below.
- Spam and abuse protection: to keep automated spam out of our forms, phone line and text messages, we record the IP address and time of form submissions, sign-in and email requests, and calls and texts, and some forms may run a security check that looks at your browser and device. We use these records only to block abuse and protect the Service.
How we use information
We use personal information to prepare, check, deliver and revise your documents; to manage your account, orders, subscriptions, invoices and payments; to send order updates, reminders and service messages; to answer calls and support requests; to send our regulatory newsletter if you subscribe to it; to keep the Service secure and prevent fraud and misuse; to improve our documents and site; and to meet our legal, tax and recordkeeping obligations and protect our rights. We do not use your records or crew information for advertising.
How we share information
We share personal information only as follows:
- Service providers that process it for us under contract and only to provide their service to us:
- our cloud hosting and database provider, for the site, your account, orders and documents;
- our payment processor (card and bank details go directly to its secure form);
- our email delivery provider and our business email provider, for sending and receiving email;
- our telephone and text-messaging provider, for our phone number and text messages;
- our automated phone assistant provider, which handles calls and texts in real time;
- our customer relationship management (CRM) provider (contact details including phone numbers, order status, and call records without call content), which also provides website analytics only if you accept analytics cookies;
- our website security provider, which may run a check on some forms to tell people from automated spam;
- Google, which serves the web fonts our pages use (your browser requests them from Google, which receives your IP address), and, if you choose, Google or Microsoft for sign-in.
- People you direct us to, such as co-owners, lessors, lessees, crew or advisers you ask us to send documents, signing requests or messages to.
- Legal reasons: when required by law, subpoena or court order, or to protect the rights, property or safety of our customers, the public or us.
- Business transfer: to a successor if our business is reorganized, merged or sold, subject to this policy.
We do not send your information to the FAA; you submit your documents yourself. We do not sell personal information or share it for anyone else's marketing.
Text messages (SMS)
If you give us a mobile number and agree to receive texts (on our order form, or by asking for a text during a call with us), we use that number only to send customer-care messages about your order: status updates, document-ready notices and links to your order or quote. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third parties, except the messaging providers that deliver our texts. Reply STOP to opt out or HELP for help at any time. See our SMS Terms.
Cookies and analytics
We use strictly necessary cookies to keep you signed in, protect forms against forgery and remember your cookie choice. With your permission, our public marketing pages (such as the home, catalog, pricing, guides and blog pages) also load analytics and marketing cookies from our customer relationship management (CRM) provider. They tell us which pages are useful and let us connect a newsletter signup or order request to the pages you read before it. They are never loaded on account, order, document, upload, signing or checkout pages. A cookie notice asks you to Accept or Decline; nothing loads until you accept, and declining does not limit anything you can do on the site. Your choice is stored in a cookie for 180 days, and you can change it at any time on this page.
Customer records
We keep a copy of your contact details, company, aircraft and the status of your orders and plans in our CRM provider so our team can manage requests and follow up. It also holds your phone number and a record of calls with us (date, time, duration and outcome), never what was said on a call, a recording or a transcript. If you sign up for our newsletter or send an order or document request, the details you enter on that form are also sent to the CRM provider. The CRM provider never receives your text-message consent or opt-in records. We do not sell personal information or share it for anyone else's marketing.
Emails
We send service emails about your account and orders, which you cannot opt out of while you have an active order or plan. Our regulatory newsletter is sent only if you confirm your subscription, and every issue has an unsubscribe link.
How long we keep information
- Delivered documents, the answers and records they were built from, signature audit trails, invoices and payment records: 7 years after delivery, to support audits, FAA questions and tax records.
- Unpaid requests that are abandoned: deleted after 90 days.
- Server and security logs: 1 year.
- Your cookie choice: 180 days.
We may keep information longer when the law requires it or to resolve a dispute.
Security
We protect information with encryption in transit, encryption at rest for unpaid documents, hashed passwords, optional two-factor sign-in, signed download links that expire, restricted staff access and an append-only activity log. See Security and data retention. No system is perfectly secure. If a breach affects your personal information, we will notify you as the law requires.
Where we store information
Our application and database are hosted in the United States. The Service is intended for users in the United States; if you use it from elsewhere, your information is transferred to and processed in the United States.
Do Not Sell or Share My Personal Information
We do not sell your personal information, and we do not share it for cross-context behavioral advertising. Analytics cookies load only if you accept them. If your browser sends a Global Privacy Control signal, we treat it as a decline: no analytics or marketing cookies are loaded and no cookie notice is shown.
Your choices and rights
To make a request, email support@bizjetdocs.com with "Privacy request" in the subject line, or call (772) 571-4647. An authorized agent may make a request for you with your written permission. You can ask us to access, correct or delete the personal information we hold about you, or for a copy of your documents. You can also unsubscribe from the newsletter, change your cookie choice on this page, and reply STOP to stop texts. We will verify your identity before acting on a request and respond within 45 days. We may keep information we must retain by law or need for the records described above, and we will tell you if so. We will not treat you differently for using these rights. If the privacy law of your state gives you additional rights, contact us and we will honor them as that law requires.
Children
The Service is for adults and businesses. It is not directed to anyone under 18, and we do not knowingly collect personal information from children. If you believe a child has given us information, contact us and we will delete it.
Changes to this policy
We may update this policy. We will post the new version here with a new effective date and, for a material change, tell you by email or in your account before it takes effect.
